| Full Service Property Management
Showing prospects and renting homes after reviewing all applications, checking credit and possible evictions, employment status, rental history, driver's license or other identification and other information we deem necessary. Tenant selection is by a real estate broker with 24 years experience in owning and renting houses and apartments.
Written rental policies are provided to each applicant prior to their paying for a credit check. As required by the Fair Credit Reporting Act, legally correct rejection letters are sent to all applicants who are not accepted.
New resident contracts are prepared with the latest contracts available. Legally required disclosures including Lead Base Paint Disclosure and Data Base Disclosure are given to the new resident. House rules or condominium association policies, if any, are provided to the tenant.
Move-in processing includes a full written inspection of the condition of the residence signed by the new tenants. Move-out processing includes another written inspection with any charges itemized and deducted from the tenant security deposit.
Frequent inspections are conducted of both the exterior and the interior of rentals. Residents are notified of any needed improvements in their care of the property. Maintenance problems identified are handled promptly.
We supervise the preparation of homes for rental including maintenance, cleaning, flooring, appliance, and other replacements, painting, yard care and watering, and repairs
For apartments, supervision of on-site managers, if any, includes interviewing, checking references, skill testing, personality profile testing and hiring. All on-site managers work on a written contract incorporating laws governing employment, taxation, worker's compensation, and labor law.
Accounting
Trust accounts are maintained at US Bank.
Income and expense accounting is done using the Yardi Property Management Software under the direction of an accountant. Yardi has check printing capabilities and is the most widely used software in the property management business.
Rental income, tenant security deposits, tenant charges, laundry income and other income is deposited to the owners account as required by trust account law. Individual tenant, property, vendor and owner ledgers are kept for quick access. We send out legally required tax reporting information to owners, employees, vendors and the Internal Revenue Service and the Employment Development Department. Payroll and workers compensation reports are prepared and filed.
Property operating bills, mortgage payments, tenant security deposit accounting, payroll, payroll tax deposits and other items, as directed by the owner, are paid several times a month to ensure on-time payment.
Property cash flow statements and owner checks are sent monthly by the 20th. The year-end accounting includes everything that you need for your CPA to do your taxes. For properties with multiple owners, statements can be prepared by ownership percentage.
Legal
Our staff is trained to properly serve 3-Day Notices to Pay or Quit and 3-Day Notices to Perform Covenant including the legally required Proof of Service.
We have a real estate lawyer and an eviction service available if problems arise or an eviction is ever needed.
We maintain membership in the California Apartment Owners Association, and the Rental Housing Owners Association, in addition to several real estate associations. The many publications, classes, and conferences keep us up to date on the latest legal changes affecting your property.
Property Sales, Purchases, Exchanges and Consulting
Sale or exchange of properties managed by Golden Phoenix Property Management is available at a discount through Karen Wilson-Fontaine of Century 21 Mission-Bishop.
Consulting services are available for property income, expense, financing, sale, exchange, and group ownership.
The first rental of properties purchased through Ms. Wilson-Fontaine is free through Golden Phoenix Property Management.
We also maintain a large database of excellent real estate agents for referral to other areas for exchanges, sales or purchases.
Advertising
Our convenient location at the corner of Second and L St. in Livermore brings in many prospects so homes can be quickly rented and often do not have to be advertised.
Our web site, www.goldenphoenix.net, and telephone book advertising generate many prospective resident calls every month.
We maintain a "Rentals Available" list at the front desk of Intero Real Estate Services that generates many resident leads. This minimizes "down" time in which units are between residents.
Properties are listed "for rent" with the MLS service and several tenant finder services at no extra charge.
